Wages: $15 – $16/hour, based on experience

SUMMARY: The Montana Innocence Project (MTIP) is a non-profit legal aid organization dedicated to preventing and correcting the wrongful conviction of innocent people in Montana. Reporting to the Executive Director, the Administrative Assistant provides administrative support to ensure efficient operation of the office, support managers and employees through a variety of tasks related to organization and communication, and are responsible for confidential and time sensitive material.

The position requires the ability to effectively communicate both verbally and in writing and ensure that all duties are completed accurately and timely. Successful candidates will rely on experience and sound judgment to plan and accomplish goals with a fair measure of creativity and latitude. Familiarity with a variety of the concepts, practices, and procedures of a non-profit and/or law or investigative office is preferable.

PRIMARY DUTIES & RESPONSIBILITIES:

  • Answer and direct phone calls and general info email correspondence
  • Receive, sort, and distribute mail
  • Organize and schedule meetings and appointments
  • Take accurate meeting minutes
  • Maintain contact lists
  • Prepare correspondence, memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain electronic and manual filing systems
  • Inventory and order office supplies
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Assist in research and creation of presentations
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Develop and update administrative systems to make them more efficient
  • Resolve administrative problems

QUALIFICATIONS & EXPERIENCE:

  • Passion for and understanding of MTIP’s mission and work
  • Self-starter that also asks questions and seeks clarification when needed
  • Humility and confidence – no job is too small or too big
  • Values giving and receiving feedback and constructive criticism
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Superior attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office and Google Suite
  • Experience with donor databases and CRMs strongly preferred
  • Experience with case management systems a plus
  • At least 3 years of experience in the field or in a related area
  • High school diploma or equivalent; college degree preferred
